How Jot (拾念) for iOS handles your text, recordings and related information.

Your records start on your device

Text you enter, original recordings, first transcripts, edited text, and creation, modification, completion and deletion information are used to save, display, play and manage your records. Records are stored on your device by default. No separate Jot account is required.

Necessary preferences, including language, sync and automatic transcription settings, are also stored locally. Activation and expiry of the 24-hour promotional allowance are stored separately on your device. They are not purchase evidence and are not included in the app’s CloudKit sync or exported backups.

Microphone access and on-device transcription

Recording requires microphone permission. You may decline and continue entering text, or change permission in iOS Settings. Revoking permission does not delete existing recordings.

On supported devices and system languages, prepared Apple speech models process recordings on your device. Preparing a model may require a download from Apple. Recordings are not sent to a transcription server operated by us.

Only the first 30 seconds of a longer recording are transcribed; the full original audio is retained. Transcription may contain errors. Editing your text does not overwrite the first transcript or original audio. Where automatic transcription settings are available, you can stop further recognition attempts without deleting existing recordings or transcripts.

iCloud sync is your choice

iCloud sync is off by default and starts only after you enable and confirm it. Text, original audio, first transcripts, record states, and necessary identifiers and version information sync through the current Apple account’s private CloudKit database. Existing and recently deleted records participate. Version copies retained during sync review stay locally and do not sync across devices.

Apple provides the underlying service under your Apple account, iCloud settings and applicable terms. Jot does not publish your records to other app users.

Turning sync off stops subsequent sync work, but does not delete existing local or cloud data. Requests already sent may finish. Other devices must connect, run the app and complete sync to receive changes, including deletions. Updates are not guaranteed to appear immediately everywhere.

Deletion, retention and version copies

Deleted main records remain in Recently Deleted for 30 days and can be restored during that period. After expiry, cleanup while the app runs removes the main record’s text and transcript and clears original audio that is no longer referenced. A closed app, offline devices or file cleanup failures may delay processing. Failed file cleanup is retried during later operation.

Necessary identifiers, timestamps and deletion markers are retained to prevent older devices or sync data from reviving cleared records. These markers do not retain the record’s text, first transcript or audio content.

Version copies retained during sync review may contain other text, transcripts or references to original audio. They follow their list’s rules and original timestamps: completed records awaiting archival move to the completed archive after two hours, not to deletion; records and copies in Recently Deleted expire after 30 days; copies in other lists have no additional automatic deletion deadline. There is currently no separate control for deleting version copies.

A valid copy is not removed solely because a main record with the same identifier expires. Audio still referenced by a valid copy is retained. Exported files, shared copies, system backups and copies held by recipients do not disappear when you delete a record in Jot. Uninstalling the app or turning sync off does not mean that all iCloud data or external backups have been removed.

Export, backup and sharing

The app reads a selected backup, exports a backup or shares an individual original recording only when you initiate the action through the system file picker or share sheet. Backups may contain private text, transcripts and audio. Jot does not add encryption to exported files. Choose trusted destinations and recipients.

Other apps or storage providers process the copies you send under their own rules. Where some sync reviews or retained versions cannot be fully exported, the app blocks an incomplete backup. Do not assume an older backup contains every retained version.

Local diagnostics and support

Diagnostics are off by default, require your explicit activation, last at most one hour per activation, and turn off after restart. Only necessary technical fields are recorded, such as time, functional stage, result, redacted error code and duration—not your text, transcripts, recordings, Apple account or password. Logs are not uploaded automatically.

Logs are held in local cache with a rolling three-day retention window and size limits, enforced while the app runs. A recipient receives information only when you actively copy and send it.

When you email support, we receive your email address, description and attachments to respond and investigate. Avoid unrelated private content, passwords or full recordings. Support information is retained only as needed for the request and applicable legal obligations. You may contact the support email listed on this page to request access, correction or deletion of information you sent.

Advertising, services and security

The current version has no advertising or third-party behavioral analytics SDK. Record content is not sold or used for targeted advertising. Apple and relevant system services support recording, transcription, iCloud and sharing under their own rules.

We use measures appropriate to the current functionality, including storage isolation, integrity checks and minimized diagnostic data. No device, network or service is absolutely secure. We do not claim additional end-to-end encryption that has not been verified.

Your choices and policy changes

You can view and edit records, manage deletion and restoration, export recordings or backups, disable sync and automatic transcription, and revoke microphone permission. Data held only on your device or in your private iCloud generally needs to be managed through the app and Apple’s system tools. Support cannot remotely erase it solely on the basis of an email.

Material changes to data use or handling will be reflected in the public policy, with notices and consent where required. Privacy questions and requests should be sent to the support email listed on this page.
